Privacy Policy

How we handle information for the businesses that run on Serve Well POS.

Serve Well POS (“Serve Well,” “we,” “us,” “our”) is a point-of-sale application operated by BEPO Services LLC. This policy explains what information we collect, how we use it, and how we protect it when a business uses our app, our website at servewellpos.com, and the services connected to them.

Who this policy is for. Serve Well POS is a tool for businesses and their staff. If you bought something from a business that uses Serve Well POS, that business — not BEPO Services — decides what to do with your purchase information. Please contact that business directly with questions about your own data.

Information we collect

  • Business details — your business name, contact information, and the settings, plan, and configuration you choose.
  • Staff accounts — the email address and role (owner, manager, cashier) of each person you invite to use the app. Passwords are stored only as secure hashes; we never see them.
  • Your catalog — the items, categories, modifiers, prices, tables, and stations you set up.
  • Sales activity — orders, tickets, tabs, refunds, and the reporting totals derived from them.
  • Payment records — the amount, status, and processor reference for each payment. Card payments run through Stripe. Card numbers are entered directly into Stripe and are never stored by us or on your device.
  • Receipt recipients — if you email a receipt to a customer, we use the address you enter to send that one receipt.
  • Event ticket holders — if you sell event tickets, an optional holder name you type when issuing a ticket.
  • Support messages — anything you send us through in-app support, so we can help you.
  • Device & diagnostic data — basic technical information such as device type, app version, and error events, used to keep the app working and secure.

What we do not collect

Serve Well POS does not build a customer marketing database. We do not collect location data, contacts, photos, or advertising identifiers, and the app contains no third-party advertising or analytics trackers.

How we use information

  • To run the point of sale — take orders, route tickets to the kitchen, and process payments you initiate.
  • To show you your own sales, reporting, and history.
  • To sign you in, keep each business’s data separated from every other business, and secure your account.
  • To send transactional messages you request, such as an emailed receipt.
  • To bill you for your subscription and provide customer support.
  • To detect, investigate, and fix problems in the service.

Payments

Card payments are processed by Stripe and settle into your own Stripe account. BEPO Services does not take a cut of your card processing and never receives your customers’ full card numbers. Stripe’s handling of payment data is governed by Stripe’s Privacy Policy. Your Serve Well subscription itself is also billed through Stripe.

How we share information

We share information only with the service providers that make the product work, and only so they can perform that work for us:

  • Supabase — secure database and authentication hosting.
  • Stripe — payment processing and subscription billing.
  • Brevo — delivery of transactional email such as receipts.
  • Netlify — website and API hosting.

We may also disclose information if the law requires it. We do not sell your personal information, and we do not share it with anyone for their own marketing purposes.

Text messages

Serve Well POS does not send marketing text messages. If SMS features are added in the future, they will be opt-in, limited to transactional messages, and this policy will be updated first. We never sell or share a phone number or SMS consent with third parties for their promotional or marketing purposes.

Data separation and security

Every business’s data is isolated at the database level, so one business can never read another’s records. Data is encrypted in transit, access is restricted to the roles you assign, and staff accounts you disable lose access immediately.

How long we keep information

We keep your business records for as long as your account is active, because they are your sales history and you may need them for accounting and tax purposes. If you close your account, contact us and we will delete your business data, except anything we are required to retain by law (for example, records tied to payment and tax obligations).

Your choices

  • You can view and correct your business and staff information in the app at any time.
  • Owners and managers can remove staff accounts, which revokes their access.
  • You can request a copy of your data, or ask us to delete your account and its data, by emailing us.

Children

Serve Well POS is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 13.

Changes to this policy

If we make a material change, we will update the effective date above and, where appropriate, notify you in the app or by email.
